PREPARATORY MEETING FOR KGH MARATHON COMMITTEE MEETING.

REPORT ON THE ANNUAL GENERAL MEETING (AGM)
Held at Mulungushi International Conference Centre, Lusaka
The Annual General Meeting (AGM) was successfully held at the prestigious Mulungushi International Conference Centre. The event brought together key stakeholders in athletics, including federation officials, club representatives, coaches, and athletes from across the country, where northern Province was represented by ZA Chair, Mr Chilando and GS Chindo.
The meeting was graced by the Guest of Honour, Nkandu Elvis, Minister of Youth, Sport and Arts (MP), whose presence underscored the government’s commitment to the development of athletics in Zambia.
Key Highlights of the AGM
1. Governance and Transparency
The federation emphasized the importance of transparency in all its operations. Members were encouraged to uphold accountability and integrity in the management of athletics affairs.
2. Athlete Development and Welfare
The need to plan for athletes’ lives before retirement was strongly highlighted.
Stakeholders were urged to always prioritize the welfare and development of athletes in all programs and decisions.
3. Inclusivity
The federation called for inclusiveness in decision-making processes to ensure that all stakeholders are adequately represented and accommodated.
4. Grassroots Development
Emphasis was placed on strengthening clubs, schools, and grassroots programs.
The “catch them young” approach was encouraged to nurture talent from an early stage.
5. Utilization of Community Resources
Stakeholders were urged to take advantage of Community Development Funds available in local councils to support athletics development initiatives.
6. Welfare of Coaches
The AGM stressed the importance of taking care of coaches, recognizing their critical role in athlete development.
7. Discipline and Professionalism
Strict discipline among athletes and officials was emphasized as a cornerstone for the growth and reputation of athletics in Zambia.
8. Resource Mobilization
The need to actively seek sponsorships to support and grow athletics was highlighted.
Affiliation and Structural Developments
The Zambia Athletics (ZA) President ratified several clubs and provinces that were previously associates.
Kasama, Luwingu, and Kaputa Athletics Clubs were officially ratified as affiliated members of ZA.
Northern Province has now attained Area Board status, having met the requirement of establishing at least three clubs.
Affiliation Fees Structure
Community Clubs: K300
Sponsored Clubs: K500
Institutions: K1000
All affiliated clubs are required to participate in national events to maintain their status and avoid suspension.
Operational Resolutions
Area Boards will now be required to present reports during AGMs.
ZA has embarked on an ambitious program to train 300 individuals in each category (Coaches, Technical Officials, and Administrators) by December 2026.
Safeguarding in athletics management was emphasized, with all officials urged to take it seriously.
Various committees were established to improve the delivery and management of athletics.
Area Boards were encouraged to organize more activities to keep athletes active.
Immediate commencement of cross-country events was directed.
Area Boards will begin receiving grants to support operations.
30% of sanction fees will remain at Area Board level to strengthen financial capacity.
Clubs, athletes, and coaches were urged to formalize their affiliations to enhance efficiency and commitment.
Conclusion and Remarks
In conclusion, all clubs that were formally ratified are expected to actively participate in upcoming national events and future AGMs in accordance with the constitution.
Special congratulations are extended to Kaputa, Luwingu, and Kasama Athletics Clubs for their successful ratification by Zambia Athletics.
The AGM marked a significant step forward in strengthening governance, inclusivity, and development of athletics across the country.

Zambia Athletics family,

We have made significant progress together—strengthening governance, stabilising operations, and keeping our focus on athlete development and national programmes. With the *National Youth Games coming up* , now is the time to focus on our mission: exposing and identifying talent for the future of Zambian athletics.

I therefore call on everyone to stop attacking one another in WhatsApp and social media groups. Let us resolve differences respectfully, through the proper channels, and protect the gains we have made. Unity, discipline, and collective effort must guide us as we work together to build a stronger Zambia Athletics for the benefit of all athletes and stakeholders.
