⛳ WE’RE HIRING! | FUNCTIONS, EVENTS AND SALES COORDINATOR (Part-Time)
About the role
An exciting opportunity exists for a motivated and highly organised Function & Events Coordinator to join our team at Rossdale Golf Club, Aspendale. This is a hands-on role for someone who loves hospitality, enjoys dealing with people and knows how to turn an enquiry into a successful event. You'll be responsible for managing function enquiries and bookings from the initial conversation right through to the event, while actively helping us grow function revenue. You'll be the main point of contact for members, guests, wedding couples, corporate clients and local businesses.
Key responsibilities
Manage all incoming function and event enquiries
Respond to enquiries quickly and professionally via phone, email and online enquiry platforms
Convert enquiries into confirmed bookings and actively follow up potential new events and golf days
Conduct venue viewings and meetings with prospective clients
Work with customers to plan functions including food, beverage, room setup and event requirements
Prepare function proposals, packages and booking information
Maintain function calendars, deposits and booking details
Communicate all event requirements clearly with venue managers, golf teams, kitchen teams and staff
Ensure functions are properly handed over to the venue operations team prior to the event
Follow up customers after functions and encourage repeat business
Build relationships with local businesses, sporting clubs, community groups and organisations
Proactively identify opportunities to increase function and event revenue
Assist in developing and promoting function packages, including birthdays, engagements, corporate events, corporate golf days, Christmas parties, sporting club functions and other celebrations
Keep function information across websites and online platforms accurate and up to date
Assist with social media and marketing content relating to functions and events
Track enquiries, conversions and function revenue and report on results
About you
Experience in events, functions, hospitality and sales, preferably within a hospitality venue or membership-based organisation
Confidence conducting venue inspections, client meetings and guiding clients through event planning requirements
Strong administration skills, including bookings, invoicing, client records, run sheets and floor plans
Experience coordinating suppliers, menus, styling, entertainment and other event logistics
Excellent communication, organisation and attention to detail, with the ability to manage multiple events and deadlines
Proficiency in Microsoft Office and Canva, with the ability to learn booking, POS and event management systems
Experience with social media to promote events and club facilities
A current RSA certificate or willingness to obtain one
A proactive, commercially minded approach, with the initiative to generate enquiries, develop relationships and identify new business opportunities
Ability to manage multiple functions and enquiries at the same time
