The Charity provides & maintains the facilities (village hall, playing field and pavilion) for the Community of Whitminster and its surrounds for recreation and leisure time with the object of improving conditions of life. IF BOUNCY CASTLES OR INFLATABLES ARE TO BE USED AT YOUR EVENT/PARTY PLEASE PAY ATTENTION TO APPENDIX A CONDITIONS ON PAGE 3. Is responsible for licensing the premises with the p
erforming rights society, fire authority and Stroud District Council for premises and liquor Licences.
2. Reserve the right to cancel any hiring in the event of all or part of the premises being required for a polling station for European, Parliamentary and Local Government Elections. In such case the hirer shall be entitled to a refund of any monies paid.
3. Reserve the right to cancel hiring in the event of a local / community Emergency.
4. Has discretion over the payment/repayment of the hiring fee if the hirer cancels the booking before the date of the event and the committee is unable to find a replacement booking.
5. Has the right to review and increase/decrease hire fees as necessary. Must be over 18 years of age.
2. Shall pay a non-refundable deposit of £25 per booking unless you are a regular group and you have an agreement set up to include a cancellation fee. This is to cover admin costs and heating of water/heating, as well as the loss of another possible booking for the slot. This non-refundable deposit shall be payable within 7 days of making the booking to secure it and with the balance to be paid in full 7 days before the event.
3. Will be responsible, during the period of hire, for the supervision of the premises, fabric and contents their care from damage (however slight) or change of any sort and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements so as to avoid obstruction to the highway.
4. Shall notice the use of Inflatables/Bouncy Castles - see Appendix A below.
5. Shall notice the use of TV recieving devices - We do NOT hold a TV Licence and therefore cannot allow any viewing or recording of Live TV from the BBC Iplayer on any devices at Whitminster Village Hall.
6. Will be responsible, during the period of hire, for the supervision of the premises, fabric and contents their care from damage (however slight) or change of any sort and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements so as to avoid obstruction to the highway.
7. Shall not sub-let or use the premises for any unlawful purpose or in any unlawful way nor do anything or bring onto the premises anything, which may endanger the same or any insurance policies in respect thereof.
8. Shall indemnify the committee for the cost of repair of any damage done to any part of the property including the curtilage thereof or the contents of the building that may occur during the period of hiring as a result of the hiring. Should any damage occur it should be reported to the booking secretary without delay.
9. Is responsible for leaving the premises and the surrounds at the end of the booking in a clean and tidy condition, properly locked and secured unless directed otherwise and contents temporarily removed from their usual positions properly replaced. No nails, screws, adhesive tape or other fixings shall be applied to the wall surfaces. Otherwise the committee shall be at liberty to make an additional charge. No alterations shall be made to the electrical circuits or fittings.
10. Shall at all times be responsible for any equipment or goods brought onto the premises. The Management Committee’s insurance does not cover hirer’s property or the hirers public liability.
11. Must at dances and discos provide one steward per twenty-five people and to prevent public nuisance inside and outside the premises during and after the event.
12. Ensure Disco’s carry current Public Liability Insurance and Portable Appliance Testing Certificates. Ensure Disco’s do not use Smoke or Haze Machines.
13. Must strictly observe the food safety regulations as set out on page 4.
14. Must ensure that no private supplies of intoxicating liquor are brought onto the premises without written permission. Only persons over 18 years are allowed to purchase and/or consume intoxicating liquor on the premises. It is an offence to purchase alcoholic beverages for consumption by persons under 18 years of age. Conditions of Premises Licence: The Hirer will ensure that children and young persons are not allowed on the premises when entertainment of an adult nature is provided. This complies with the protection of children meeting the Objectives of the Licensing Act 2003.
15. MUST at the commencement of the hire, make themselves and those present, aware of the position of all fire extinguishers and the nearest phone box which is situated in The Close. (Turn Right out of the Car Park and immediately Right into Henry Withers and The Close etc.)
16. MUST IN THE EVENT OF A FIRE:
i) Evacuate the premises immediately. ii) Call the Fire Brigade 999. iii) Use the fire extinguishers – if safe to do so. The Hall is provided with adequate means of escape in case of fire and these are clearly marked. In the event of a power failure the exit signs will be illuminated automatically. Food Waste
17. ALL FOOD WASTE MUST BE REMOVED FROM THE PREMISES. i.e (TAKEN HOME WITH YOU) AT THE END OF YOUR EVENT. BAGS ARE PROVIDED FOR YOUR CONVENIENCE
Appendix A
It is your responsibility to ensure that you are covered by the following Public Liability Insurance and carry out the following conditions as follows:
1. Public Liability from your Inflatable or Bouncy Castle Supplier.
2. In the event that your supplier does not leave someone to supervise use of the Inflatable or Bouncy Castle then you will also need additional cover, either from your own home contents insurance for use of a Bouncy Castle or Inflatable at a suitable venue for the duration of the hire Whitminster Village Hall or Playing Field or you can purchase temporary cover from a reputable insurance company. Your supplier should be able to recommend a suitable Insurance Company in this instance.
3. You MUST ensure the Bouncy Castle or Inflatable is supervised at ALL times by a responsible adult. You MUST issue us with a copy of these insurances for our records. UNLESS we have these records, we will not be able to allow the Bouncy Castle or Inflatable onto our premises. These can be emailed to [email protected] and include your name and booking date and time so we can match them up to the correct event. Please adhere to the following safety instructions including those supplied by your Inflatable or Bouncy Castle Supplier.
1. Bouncy castles and inflatables have a size and age limit and number of users on at one time limit, which will be provided by your supplier. Please ensure that nobody over this age uses the product and no more than the limit are on board at anyone time.
2. Soft gym mats must be placed positioned to cover hard surfaces at the open front of the Bouncy Castle/Inflatable.
3. Food, chewing gum and other items that may pose a choking hazard are not permitted on bouncy castles.
4. If a bouncy castle or inflatable that is hired by you from your supplier is in a dirty or messy condition, a cleaning sur-charge may be incurred to clean the hall.
5. Shoes, badges, jewellery, glasses, and sharp objects must be removed before entering the bouncy castle or inflatable.
6. Please turn off the blower at the mains when the bouncy castle is not in use. This is to conserve energy to keep our bills down and hire charges down.
7. Inflatables must not be used during inflation or deflation. Using an inflatable at these times is dangerous.
8. Please ensure there is adequate space for the inflatable according to your suppliers needs and that the blower has plenty of space around it so it will not overheat. DO NOT PLACE THE COMPRESSOR/BLOWER DIRECTLY IN FRONT OF THE STAGE – THIS IS A FIRE RISK
9. If the inflatable is to be used outside, it should not be used if in the wet/rain/windy conditions. If the jumping area becomes wet, the bouncy castle is dangerous and must not be used.
10. If an inflatable is used outside it MUST be anchored down at adequate anchor points – your supplier should be able to guide you.
11. The Bouncy Castle/Inflatable MUST be supervised at ALL times by an appropriate adult.
12. If the blower stops unexpectedly, please clear all users from the bouncy castle or inflatable immediately and cease to use.
13. Please ensure that the path to the intended location of your bouncy castle, plus the location itself, is free of debris, obstacles, and animal waste.
14. Bouncy castles and inflatables must be located on a flat surface. By booking, you accept you have read the above agreement in full and understand the conditions of hire. You also accept that you are responsible for the inflatable or bouncy castle when it is in your care and that you will pay for any damages or losses, or extra cleaning charge due to use or misuse of the inflatable or bouncy castle. All bookings will be subject to non-refundable deposit per booking unless you are a regular group and you have an agreement set up to include cancellations.

We are wanting to set up a Mingle, Mix and Make group, every Thursday, between 2 and 4.30pm for people who would like to get together and chatter and make things. We need help to set it up though and get it off the ground. If you would like to help set this up, please pop along on Thursday afternoons 2pm and we’ll get this going! 😀

We have the photos! And the story goes like this. At the end of January, Honor and myself recieved an extreamly unexpected email from the Gloucestershire Playing Fields (GPFA), whom we are a member of, and who have help to fund various projects on the Playing Field over the years, asking us if we would like to help take part in their Centenary year celebrations that would involve HRH, The Princess Royal visiting us to use our new Pavilion to showcase the work they do supporting organisations like ours throughout the County. It was to be invites only from the GPFA and there was only a certain number allowed, as other organisations who the GPFA had supported were also present to demonstrate other such projects around the County. This was not our ‘party” as such. We were the hosts with the advantage of being able to “show off” the new Pavilion that the GPFA helped to fund. However due to the nature of the visit it had to be Need to Know only until a certain date had passed. Even then, after a couple of meetings with the GPFA, and Members of Staff and Security from the Palace and Gloucestershire Police, we were asked not to “promote” the visit until afterwards.
It was a day none us had expected or anticipated. Princess Anne took her time to speak to us all about our various projects and was keen about using local contractors and local volunteers. She made you feel relaxed and cracked some jokes. We all thoroughly enjoyed it. The weather was on our side, and Vanstone Contractors managed to finish our new path and ramp in the nick of time and a few borrowed tubs of beautiful colourful spring plants from a last minute panic by me from Highfield Garden World and beautiful table decorations and the all important posie for Princes Anne from Michelle Passion Flower Florist & Gifts
Thank you to all who took part. It will certainly be part of our history.

Yes! At last! Thanks to our Treasurer’s hard work and determination (bless her) we can now allow Bouncy Castles back on our premises. - please see our Terms and Conditions of Hire for more info ……… for the premises that is as we don’t hire out bouncy castles………… just though I’d add that in 😉

Craft Fair Day at the village hall, 12pm-4pm, free teas and coffees, bar open, raffle and lots of goodies. Please do come and join us. interesting fact of the day - we have 4 crafters of our own from the village! Come and support them as well and see if you can guess who they are?
