Penarth Lawn Tennis Club

Some of you may have seen a Facebook post regarding a wedding booking. The club would like to put the facts out there so there will be no further speculation or accusations against any individuals.

Among the terms and conditions are the following points:

Responsibilities of the Hirer:

Before the Event/Party the Hirer must;
Complete the booking request form and have received written approval for the booking from the club committee.
Pay the agreed Hire Fee in advance of the event
Bookings can only be made by PLTC Adult Members (playing or social) that have been a member for at least 3 months. Booking requests will not be accepted if it is deemed that an individual has joined the club for the sole purpose of hiring the club.

We appreciate that members will make various requests in their booking application in order to run the perfect event. Whilst many of these requests the club can accommodate at no extra charge others may need to incur an additional charge. We have listed some of the most common requests and any associated costs below:

• Large Event Fee (over 80 guests) – fee to be agreed with the hirer, depending upon their requirements.

Despite the couple’s claim to have booked the club, we can confirm that, to date, no booking request form has been received, and they have been unable to provide any evidence that a booking was confirmed.

Separately, a member submitted an application for a party on 18th July. This date was not available, so they agreed to have their party on 8th August. They issued invites for their party on 15th April.

In May the club committee became aware that the couple believed they had booked the club for 8th August for their wedding, despite not having paid any fees or received any booking confirmation.

The club made enquiries to establish the facts of the situation.

In July 2025 the couple in question made an informal enquiry via a third party about potentially hiring Penarth Lawn Tennis Club on either the 8th or 22nd August 2026.

The 3rd party was informed at that time both dates were available, but they would need to choose and make a formal application.

No formal application was ever received and no fees were discussed.

Once the committee became aware of the situation a committee meeting was held to discuss the matter. Although the member who had booked the 8th August (the wedding date) had done so following the terms and conditions, both she and the committee agreed they did not want to spoil the wedding day so agreed to move the party to accommodate the wedding.

The committee considered, as the member has acted in good faith and had agreed to move her event, despite having people travelling to attend, the wedding couple should make a small contribution to the costs of moving that event.

The wedding couple were advised their wedding could proceed and a meeting was arranged to discuss the event.

In the end the couple decided not to go ahead with their booking as the fees were higher than they had expected.

As highlighted above, our terms and conditions of hire are clearly stated on our website as well as our hire fees. Our club is 100% volunteer run and large events take up a significant amount of time and planning and incur substantial additional costs for the club. For this reason, parties with over 80 guests are not charged a standard booking fee but are charged according to their specific requirements – this is stated on our website.

The club are obviously disappointed that the couple ultimately chose not to hold their wedding at the club and wish them well in their married life.

The club reiterates that it acted in good faith at all times, and agreed to honour the booking even though an application was never received as per the terms and conditions.
